RECEPTION – THE Hotel Management Database

Designed for the discerning hotelier, Reception looks after your front desk.   It is easy to use and requires no knowledge of computer jargon.   From the initial brochure and tariff enquiry through continued contact via letters and mail shots to repeat visits, Reception makes the hotelier’s life easy.   Give it a postcode and it will tell you the full address, tell it which newspapers are required, and it remembers the next time your guest checks in.

You decide your seasons, room grades, special offers and deals.   All bookings will then automatically be quoted at the appropriate price, which, of course, you can override.   Think of the problems – multiple rooms, changed dates, early departure, early check out, room moves, extended stays, multi tender payments, deposits covering more than one room etc etc.   Reception copes with them all without attempting to get a lot of people into the same room or misplacing your money.   Functions are child’s play, you can print a contract in advance, and when the time comes to prepare the bill, the contract details are automatically included.

Chance dining is easy and can be booked in advance – get their address as well – mail shots work wonders.   It will even print and accept gift vouchers – with full control of course.

 Business clients and agents are all taken care of.   Invoices to head office - with reminders just in case.   Commission deducted on receipt of payment.   Separate invoices for non-claimable items.

 Reception knows about cashing up and balancing the till.   It keeps a separate deposit ledger.   It even keeps a holding ledger for deposits from bookings that have been cancelled.   Full accounts are maintained, for guests, both current and history, for the hotel, on a day book basis, for the VAT man.   Even gratuities are taken care of and accounted for.

To help the day along, there’s the arrivals and departures report showing who’s coming, with their special requirements, who’s staying and who’s going – it even prints all today’s departure invoices without you having to know just who is departing.   Registration forms are printed and even include the known choice of newspapers, and of course the newsagent’s order can be printed or faxed.   One screen shows just what’s happening in the hotel right now.   You can still have booking charts with names on.

Full breakdown of all invoices across your cost centres comes as standard – you can even do it whilst the guests are in residence so you know just how to pitch your sales talk to sell that extra ……   Occupancy analysis and forecasting; cash flow forecasting - even broken down by room; advertising analysis - they’re all there.

We will convert your existing computer data.   You can design your own letters and invoices all at no charge.   We’re even talking to a well known on-line booking company so you can accept bookings from the Internet even if you don’t have your own web site.

Sounds too good to be true.   Sounds complicated.  Sounds expensive.

You simply pay a monthly licence fee, which covers all maintenance and upgrades.
